Terms & Conditions
These Terms & Conditions establish the general principles applicable to the use of this website and to the professional services provided by Anabela Grilo.
The website is primarily an informational and professional presentation of Anabela Grilo's services as an Executive, Personal and Virtual Assistant. Contacting Anabela or using the website does not, by itself, create a service contract. A professional engagement only begins once the scope of work and the relevant commercial conditions have been agreed between Anabela and the client.
1. About the Services
Anabela Grilo provides professional administrative, organisational, coordination and support services, which may include:
- Executive Assistance
- Personal Assistance
- Administrative Procedures & Support
- Coordination & Follow-up
- Professional Liaison & Support
- Office & Operations Support
The exact scope of services depends on each client's needs and is agreed individually. Services may be provided remotely and, where specifically agreed, through other appropriate arrangements.
2. Enquiries, Proposals and Engagement
Prospective clients may contact Anabela by email, WhatsApp or other available communication channels to discuss their needs.
An initial enquiry does not guarantee the acceptance of a project or create a contractual obligation. Where appropriate, Anabela may provide a proposal, quotation or description of the scope of work. A service engagement begins only after the relevant conditions have been agreed by both parties.
3. Scope of Work
The agreed scope of work may define, depending on the project:
- services to be provided;
- priorities;
- expected deliverables;
- deadlines or timeframes;
- communication arrangements;
- fees and payment terms;
- any other conditions relevant to the specific engagement.
Additional tasks or changes to the original scope may require prior agreement and, where applicable, an adjustment to the fee or timeframe.
4. Client Responsibilities
Clients are responsible for providing accurate, complete and timely information reasonably necessary for the performance of the agreed services.
Clients are also responsible for ensuring that they are authorised to provide any documents, information, access or instructions given to Anabela for the purpose of performing the requested work.
Delays or difficulties caused by missing, inaccurate or incomplete information supplied by the client may affect deadlines or the completion of tasks.
5. Confidentiality
Confidentiality is a fundamental part of the professional relationship. During the provision of Executive, Personal or Virtual Assistance, Anabela may have access to confidential professional or personal information provided by the client or made available with the client's authorisation.
Examples may include:
- calendar and meeting information;
- professional contact details;
- documents and administrative information;
- travel arrangements;
- reservations;
- supplier and service-provider information;
- personal appointments and practical arrangements;
- information relating to business operations;
- other information necessary to perform a task requested by the client.
Such information will be treated confidentially and used only to the extent necessary to perform the agreed services, subject to applicable legal obligations.
6. Third-Party Contact and Coordination
When specifically requested or authorised by the client, Anabela may communicate with third parties on the client's behalf. These may include:
- suppliers;
- hotels and travel providers;
- service providers;
- professional contacts;
- lawyers, accountants, banks or other professional contacts;
- organisations or individuals relevant to a specific administrative or coordination task.
These communications are made only for the purpose of carrying out the task authorised by the client.
7. Professional Scope and Limitations
Anabela's services are administrative, organisational, coordination and support services. These services do not constitute legal, accounting, tax, financial, medical or other regulated professional advice.
Where a matter requires specialist or regulated professional advice, the client remains responsible for obtaining advice from an appropriately qualified professional.
8. Fees and Payment
Fees, payment terms and any other commercial conditions are agreed with each client before the relevant services begin and may be included in a proposal, quotation, service agreement or other written communication.
Any additional work outside the agreed scope may be subject to a separate agreement.
9. Cancellation, Changes and Termination
Where services are ongoing or scheduled, cancellation, changes or termination will be governed by the terms agreed between Anabela and the client for that specific engagement.
Reasonable notice may be requested where necessary to manage scheduled work and commitments.
10. Intellectual Property
The website's original text, visual identity, photographs, graphics, logo/monogram and other original materials are protected by applicable intellectual property rights. Visitors may consult the website for personal and professional information purposes.
Reproduction, distribution, modification or commercial use of website content without prior authorisation is not permitted, except where permitted by law.
For work created specifically for a client, ownership or permitted use will depend on the nature of the work and the terms agreed for that specific engagement.
